How it works

Staff do three things. Your roster does the rest.

  1. Choose your week

    Staff log in with their email, pick the week and their name, and their shifts appear straight from your roster.

  2. Check your shifts

    Days, sites, times, hours and pay rate are already filled in. Staff only correct what's wrong.

  3. Sign and send

    Sign on screen, then download the PDF or share it straight to payroll from a phone. After the first week their details are remembered, so it's three clicks: open the portal, choose the week, download.

Rates are set per role, with separate weekday and weekend rates, and you can set exceptions for individual people.

One login, one person
Each login is locked to one name, so nobody can produce someone else's timesheet.

Where your data lives

Staff details are personal data, so each company's stays separate from everyone else's.

  • Your own portalEvery company gets a separate portal and database at its own address, such as yourcompany.tracksheet.co.uk. Nothing is shared between clients.
  • No IT projectThere's nothing to install, and we never need access to your systems or your domain.
  • Encrypted connectionsEverything travels over HTTPS between staff devices and the portal.
  • Deleted when you askAsk us to remove one person's data or all of it, and it's deleted within 30 days.

Priced per person, quoted for your team

A small monthly fee for each member of staff using the portal, with a lower rate for larger teams. Tell us your headcount and we'll send a fixed quote.
